General Club Policies

Please read the club’s policies before and after registering your child. We strive to maintain a safe and fun environment for our children and coaching team. With that in mind, we ask that both parents and children abide by our policies.

  • Our facility is PEANUT FREE.

When Registering:

  • Please read the Club Rules and Policies, the Cancelation Policies and the Code of Conduct
  • Please use the child’s legal name (as it appears on their Birth Certificate).
  • Please include the name of a Parent or Legal Guardian on the registration form.
  • Please remember that we can only release registration information to those people included on the Contact List on the registration form.
  • Please retain the email duplicate of your online registration form. It contains information about the program, the day, and the time you selected when registering. It also includes payment details about the type of payment and the credit card you used.
  • Please allow 2-5 business days to process your registration. Your online registration must be verified by a member of our staff. At that time, you will receive a confirmation email that includes the confirmed day and time of the class and the amount charged to your payment method. Registrations are processed in the order they are received. Registrations received after 15 June 2017 will be processed, in order, after 09 August 2017. A confirmation email will be sent only after that date.
  • Please remember that if your payment cannot be processed, you will be informed to re-register, and a spot will not be saved.

Payments:

  • You have the option to pay by credit card (Visa or MasterCard), Interac, electronic transfer, cheques and cash.
  • When registering between 17 June 2017 and 09 August 2017, your registration will be processed when the club reopens in August. In this case, please provide a valid credit card to secure your child’s spot. If you wish to pay by cash, cheque, or Interac, you will have 48 hours to respond to they confirmation email and provide payment in person.
  • When registering before the end of September 2017, you may choose to pay by cash, cheque, or Interac. Your child’s spot will be reserved for 48 hours. You must come within that time to make your payment in person. If you choose the “Four Payments” option, and wish to pay by cash, cheque or Interact, you must provide a valid credit card number to secure your child’s spot. Visa Debit is not accepted.
  • When registering between the end of September and mid-December, only the “One Payment” and “Two Payments” options may be selected.
  • When registering for the spring session, the “Spring Session” option must be selected.
  • When paying by:

Credit Card:- Your receipts will be returned when requested as your proof of payment.

Cheque: Your cancelled cheque will be your proof of payment.

Cash: A cash receipt will be issued to you in the child’s name

Interac: Your receipt at the time of transaction will be your proof of payment

Electronic Transfer: NEW THIS YEAR. Your e-transfer will be accepted ONLY if we can provide you the required class, day and time. As a password you MUST use the child’s date of birth (ddmmyyyy, without symbols or spaces).

During the season:

  • Gymnasts are required to wear a gymsuit or leotard (any color and any style). They may wear layers over it (as leggings, T-shirt, etc.) Please avoid gymsuits with a tutu or skirt attached as it can pose a safety hazard on the uneven bars. Gymnasts are to be bare footed. Boys can wear tight fitting shorts or track pants and a T-shirt. Gymnasts are to have hair tied up and back. No jewellery is permitted.
  • Gymnasts must be healthy to participate. Any gymnasts complaining of pain or feeling sick will be asked to sit and parents will be asked to come pick them up.
  • Gymnasts MUST be respectful to coaches and other gymnasts and must follow directions given. The club has the right to restrict anyone from participating if we believe they are endangering others or themselves. A Parents meeting will be scheduled if there are repeated concerns. The club reserve the right to terminate the membership without refund, if we cannot work together to follow the Club’s Rules.
  • Gymnasts must be dropped off inside the gym and picked up from inside. Gymnasts will bot be allowed to wait for their ride outside the building.
  • Parents MUST be on time to pick up their children at the end of their class.

In parent-child classes (“Baby Stars and “Toddler Stars”):

  • Only one parent with each child can participate (taking turns between parents is allowed). Parents must be dressed comfortably to participate. Siblings are NOT allowed in the gym are if they are not Club members.
  • Strollers are not allowed in the gym. Parents are not allowed to bring babies (younger siblings) into the class unless they will remain in an infant car seat for the duration of the class. No slings or carriers are allowed.
  • In parent-child classes any adult that is accompanying the child MUST sign an attendance list and state the relationship with the participating child.
  • Parents are NOT allowed on the equipment.

In the viewing area:

  • Parents are allowed to view their child/ children from the viewing area. Parents are not allowed to enter the gym area to talk to child / coach during the class. However, children are allowed to see their parents during class (but try to encourage the child to do this. It should occur ONLY for special reasons)
  • Do NOT stand in the doorways. 
  • Siblings that may come with parents to the gym (but are not participating at that time) are not allowed to play in the change rooms. They must be under the watchful eye of a parent. Unsupervised children will be directed to return their parents.
  • Please be respectful of others in the waiting room with the use of hand-held devices. Lower the volume or wear headphones.
  • No pictures / videos are allowed during class time.

Parents information:

  • Through the season (September to June) there will be two (2) newsletters sent to you via e-mail. We will use the same e-mail you provided the time of registration. The newsletters are sent in November and May. A sample will be posted on the bulletin board. NO PAPER COPIES will be handed out. Please make sure to check your e-mail ( including spam).
  • Make-up weeks will be offered through the season so the gymnasts have a chance to make up classes missed due to personal reasons such as illness or vacations or classes missed due to inclement weather.
  • Maintaining the communication between the Office/Head Coach/Coach and parents is very important to your child, and to us. It helps us to improve programs and offer you the best for your child. Please contact us by e-mail ONLY at gymstarsinfo@gmail.com
  • Incidents and accidents MUST be recorded by the Club. Please read the report provided and be prepared to sign it.
  • If your child will miss 4 weeks or more (consecutively) due to an injury, please provide a Doctor’s Note (signed and dated) and the date she/he can return to gymnastics. A credit note will be issued and will be valid until 16 December 2018. Credit notes are not transferable to other children and are to be used only by the child that was issued for.
  • Siblings receive 10% discount. The discount is applied to the less expensive program. Discounts are applied per payment and NOT in bulk , at one time.
  • You may only change your payment options within the one week of your child’s first class.
  • Many holidays are not calculated in the 37 weeks provided during the season (Thanksgiving, Easter, Christmas Break). Classes missed when the Club is closed for scheduled holidays do not need to be “made up”. Information on closures, holidays and the Club schedule will be posted on the Club Bulletin Board, Facebook and the Club Web Site. These dates are also included in the two yearly newsletters sent via e-mail.
  • YEAR-END SHOW:

In June, the gymnasts will have a performance. Participation is not mandatory. However, gymnasts MUST participate during class and will learn and practice the routine. Parents MUST buy tickets to attend the year end performance. Gymnasts are not to attend the show without an adult. During the week of the Year End Show, there will NOT be any regular classes and no make-up will be provided for that particular time. Detailed information about the shows will be provided in the May newsletter.
